The IBEX26 Event - TRANSPORT TERMS & CONDITIONS
1. Scope
These Terms govern the optional motorcycle transport service offered by Legendary Productions s.r.o. (“the Organiser”) to participants of IBEX26 — The Iberia Experience (“the Client”), between an Official IBEX26 Pickup & Return Point and Indian Alicante, Spain.
2. Included Services
Return road transport, crating and strapping, all-risk transport insurance, a photographic condition record at handover and return, and uncrating on return, as described on the product page.
3. Booking and Payment
3.1 Transport is booked and paid in full through iberia-experience.eu at the time of purchase.
3.2 Transport is available to riders with a confirmed IBEX26 booking.
3.3 Booking closes no later than 2 weeks before the start of IBEX26 — by 16 September 2026. After this date, crates are dispatched to the pickup dealerships and no further bookings can be accepted.
3.4 The motorcycle handover date at the chosen pickup point is organised between 2 and 3 weeks before the start of IBEX26 (30 September 2026). The Organiser confirms the exact date to the Client no later than 7 days beforehand.
3.5 The motorcycle return date at the chosen pickup point is organised between 2 and 3 weeks after the end of IBEX26 (4 October 2026). The Organiser confirms the exact date to the Client no later than 7 days beforehand.
4. Cancellation by the Client
4.1 Cancellation before crate dispatch to the pickup dealership: refunded at 100%, less a €35 administrative and banking fee.
4.2 Cancellation after crate dispatch to the pickup dealership: refunded at 80%. The remaining 20% covers recovery of the crate already delivered.
4.3 To cancel, the Client contacts the Organiser at info@iberia-experience.eu.
5. Cancellation and Consolidation by the Organiser
5.1 If a pickup point does not reach a minimum of 3 booked motorcycles by 16 September 2026, the Organiser may consolidate affected bookings to the nearest available pickup point, or refund the transport fee in full, at the Client’s choice.
5.2 If a pickup point marked Pending Confirmation is not confirmed by 16 September 2026, the Organiser refunds the transport fee in full.
5.3 No administrative fee applies under 5.1 or 5.2, as the cancellation is not initiated by the Client. The Client’s IBEX26 booking is unaffected in either case.
6. Insurance
6.1 The motorcycle is covered by all-risk (tous risques) transport insurance, full replacement value, based on the value declared by the Client and accepted at the date of shipment acceptance.
6.2 The Client must declare an accurate value for the motorcycle at the time of booking.
6.3 Personal gear carried in saddlebags, a top case, or on a fixed rear luggage rack under Article 8.6 is not covered by this insurance.
7. Claims
7.1 Any claim for damage arising during transport is made by the Client against the Organiser.
7.2 The Organiser’s liability under this Article is limited to the amount it recovers from the carrier under the carrier’s own transport insurance.
8. Preparation Requirements
The following must be met when the motorcycle is handed over. A motorcycle that does not meet them may be declined at handover — see Article 9.
8.1 Fuel: normal riding level. No specific restriction.
8.2 Alarm: switched off.
8.3 Battery: left connected.
8.4 Windscreen: no removal required. Left mounted on the motorcycle. If electrically adjustable, set to its lowest position for transport.
8.5 Panniers, saddlebags and top cases: remain mounted on the motorcycle. Fully accessorized and heavyweight models travel in a dedicated crate sized for them.
8.6 Personal gear: may only be carried inside saddlebags, a top case, or fixed to a rear luggage rack. Not covered by insurance — see Article 6.3.
8.7 Key: the original key or keyfob — not a spare — is handed to the dealership at handover and stays with the motorcycle for the entire journey, secured by a tie strap to the left handgrip. The Client receives it with the motorcycle at Indian Alicante, hands it back with the motorcycle for the return leg, and collects it with the motorcycle at the pickup dealership.
8.8 Prohibited: action cameras (GoPro, Insta360 or similar) mounted on the motorcycle during transport.
8.9 Prohibited: any mount, rod or mast that exceeds the motorcycle’s original length, height or width.
9. Client Non-Compliance and Missed Dates
9.1 — Non-compliance at handover
If a motorcycle does not meet the requirements of Article 8 at handover, the dealer has the right to refuse it. In that case the booking is treated as a Client cancellation under Article 4, applying the refund rate in force on that date.
9.2 — Missed handover
If the Client fails to deliver the motorcycle to the pickup dealership on the confirmed Handover Date, additional transport and, where applicable, storage costs may be charged on top of the price already paid. Each case is handled individually, with the Organiser working to find the best possible solution for the Client. A new handover date can only be arranged if the dealership’s crate has not yet been dispatched to Alicante; once dispatched, the booking is treated as a Client cancellation under Article 4, applying the refund rate in force on that date.
The Client must notify the Organiser as soon as possible if the Handover Date cannot be met, so that a new date can be arranged if the schedule still allows it.
9.3 — Missed collection at return
If the Client fails to collect the motorcycle from the pickup dealership on the confirmed Return Date, additional transport and, where applicable, storage costs may be charged on top of the price already paid. Each case is handled individually, with the Organiser working to find the best possible solution for the Client. Costs depend on the real possibility of arranging a new collection date through the same or a comparable pickup point, and are charged at cost.
The Client must notify the Organiser as soon as possible if the Return Date cannot be met, so that a new date can be arranged with the dealership and the carrier.
10. Force Majeure
Neither Party is liable for failure to perform caused by an event beyond its reasonable control, including strike, extreme weather, road closure, civil unrest or governmental restriction, provided the other Party is notified without delay.
11. Governing Law
These Terms are governed by the law of the Czech Republic. The Parties seek an amicable settlement of any dispute; failing that, the competent courts of Prague have exclusive jurisdiction.
